How to Add Patient and Insurance Credit to the Patient Chart

When a patient pays more or in advance or the insurance company makes an overpayment for any claim, zHealth automatically transfers the extra amount paid by the patient and the insurance company to the Credit section. A provider or biller can use the Credit in the Patient Chart and apply it to the Patient Balance or Insurance Balance and even transfer the credit to a family member.


A. Where to find Credit in the Patient Chart

1. Navigate to the Patient Chart.

You will be at the Summary section of the Patient Chart. 


Below the patient name and phone number at the top left corner of the page, you will see an option - 
Credit

Click on the link in front of Credit. A pop-up window will open.
Note: Credit option will be available only in those patient charts who have made overpayment via card or check for their treatment or his or her insurance company made an overpayment. Otherwise, the credit will show 0.00.



2. This is how the patient credit window will look like. You can view all patient credit details such as amount credited, date when it was credited, payment type such as Credit, Cash, Gift Card, EFT, Check, or zHealthPay*, Check paid by, and how much from that credit has been used.
 *Note: If the credit has been paid via zHealthPay, you will be able to see the Payment Type as ZH-PAY along with the Transaction ID in brackets. You can look up this Transaction ID using the zHealthPay Advanced Transaction Search Report to get more details about the transaction made, such as transaction date, funding date, name and last 4 digits of the person for this transaction.



3. On the Credit window, you can perform the following changes:
a. Click the small "Settings" icon to update the Patient Credit details like Description.
b. 
If a particular patient credit has been used in the next appointment or you have paid cash to the patient for his or her overpayment, you can  delete that patent credit detail. Click the " Delete" icon to delete the credit detail.
c. Click the "Audit/ four horizontal lines " icon to view the date and message regarding a specific patient credit.
d.  To transfer a patient credit to a family member of the patient, click the "Hand" icon. A pop-up window will open. Search the patient name. Click Select. Enter transfer amount. Click ' Confirm Transfer .'
e. Click the "Print" icon to get a print of the Patient Credit details. 
f. Click the small "Balance" icon to apply the credit to one or multiple invoices.



B. How to Add Patient Credit

1. If you want to add a credit by the patient, enter the following items:

a. Enter the credit description
b. Enter the patient credit amount
c. Select date (by default it will take current date)
d. Select paid by as Patient from the drop-down
e. Select payment type from the drop down, such as Cash, EFT, Check, Credit Card, zHealth Pay, and Refund)
f. If the credit is paid by check or gift card, enter the check number or note for gift cards (if any).
g. Then click
Add (blue button).




C. How to Add Insurance Credit
1. If you want to add a credit by the patient, enter the following items:

a. Enter the credit description
b. Enter the insurance credit amount
c. Select date (by default it will take current date)
d. Select paid by as Insurance Company from the drop-down
e. Select payment type
f. If the credit is paid by check , enter the check number.
g. Then click 
Add (blue button).
