How to Block Your Schedule and Delete/Remove Single or Recurring Blocks


In the zHealth Calendar, providers can block specific time slots in their daily or recurring schedules by adding time offs, holidays, or vacation time as events, and patient appointments can be efficiently scheduled around them. When time off events change, you can easily remove the block in the Calendar Settings.

When to block your schedule?
If a provider needs to take a break at a specific time in a day or is out of the clinic for some hours, they can block the particular time slot in the calendar to prevent patients from booking appointments online around those time slots.

A. How to Block Your Schedule for One Day

1. Hover the cursor over the Provider Name at the top right corner. A drop-down list opens.

Click on the first option - 
Block My Calendar.




3. On the Block My Calendar dashboard, first you need to select the date when you want to block the calendar.

You will be able to view the current week. 

If you want to block any date in the coming week or month, select the date from the Calendar on the left side of the screen.



4. Select the Start Time and then select the End Time.

For example, if you want to block the time slot from 9:00 am to 10:00 am on a given day. Click on 9:00 am first and then click on 10:00 am.

Check and confirm the start date & time and end date & time.



5. Enter the reason why you’re blocking the calendar. This would help staff and patients to know why you’re not available for that time slot.

Click ‘
Confirm’ to block the time slot for a given day.

Note: You and you staff with admin access can book an appointment even if you have blocked a particular day or timeframe. However, your patients won't be able to book an appointment online if you've blocked your Calendar.


B. How to Do Recurring Blocks for Your Schedule

Providers can do recurring blocks for specific time slots in their schedule.


2. On the Block My Calendar dashboard, click on Recurring Block. A pop-up window opens.



3. Enter the following details:

a. From the drop-down list, select the 
Provider Name for whom you want to block the recurring schedule.

b. 
From the drop-down, first select the Start TimeThen select the End Time.

c. Enter the reason why you’re blocking the calendar. This would help staff and patients to know why you’re not available for that time slot.

d. Select Recurrence Pattern.

If you select Daily - Enter the number of recurrence in a day in front of the box 'Every'. Or you can click on the radio button in front of the second option - Weekday'

If you select Weekly - Click on the checkboxes in front of the day of the week mentioned on the screen. You can select all days or choose to select any specific day of the week.

If you select Monthly - Enter the day of every month. Or you can select the monthly recurrence for a specific week of every month.

e. 
Enter the range of recurrence.

By default, the Start Date of Recurrence will be taken as the day when you set the recurrence block. You can choose to change it.

Set the Recurrence End Date - End After or End By.

For example, if you choose 
End by option, you can start end recurring blocks to end by the same day next week/month/year.

If you select the option - End after - enter the number of occurrences, such as 2, 3, 4, 5... and so on. This will count the number of working days in your Calendar. So 5 occurrences mean a given time slot will be blocked for 5 consecutive working days.

f. 
 Click OK to confirm. Now, you have successfully blocked recurring time slots in your calendar.


4. Finally, you will get a prompt showing the date and time for all the recurring blocks on the Calendar.



C. How to Delete or Remove a Single (One-Day) Block from Your Schedule

When time off events change, you can easily delete the single (one-day) event from your schedule.


1. Use the Calendar on the left side of the screen to click and display the day/date when your schedule is blocked.




2. Click the Delete icon to delete or remove the block.





3. Click OK to confirm and delete. You will receive a message - "Schedule deleted successfully".




D. How to Delete or Remove Recurring Blocks from Your Schedule

When time off events change, you can easily delete the recurring blocks from your schedule.


1. To do this, use the Calendar on the left side of the screen to click and display the day/date when your recurring block starts.




2. Click the "Delete" icon to delete or remove the recurring block.





3. You will get a prompt asking whether you want to delete only one block or all future blocks.

a. Click "
Delete this schedule only" to delete only one block.

Or 

b. Click 
"Delete this and all future schedules" if you want delete all recurring blocks.

You will get a message - "
All schedules are deleted successfully".
