How to Set Multiple Appointments for a Patient (Recurring and Non-Recurring Appointments)

Setting multiple appointments for a patient can help ensure they receive consistent care and make it easier for both the patient and the practice to manage schedules.

There are two types of multiple appointments that you can set for your patients:

  1. Recurring Appointments: Recurring appointments are scheduled to occur at regular intervals over a specified period. These appointments are ideal for patients who require consistent, ongoing treatment, such as weekly therapy sessions or monthly check-ups.
  2. Non-Recurring Appointments: Non-recurring appointments are scheduled individually, without a regular pattern. These appointments are suitable for patients who need flexible scheduling due to varying availability or treatment plans that don’t require consistent intervals.
Your clinic can set recurring and non-recurring appointments from the Patient Chart or when editing an appointment using the same "Set Appointments" button. Watch the video tutorial or read the step-by-step instructions below.

A. How to Set Non-Recurring or Recurring Appointments from the Patient Chart

1. Enter the first or last name of the patient in the top navigation bar search box. Click Enter. Select the patient from the auto-populated results. The Patient's Chart page opens.

Once you're on the Patient Chart page, click "Set Appointments". You will be redirected to Set Multiple Appointments screen on the Scheduler dashboard.




2. To set non-recurring appointments:

Select different appointment slots on the Scheduler by clicking directly on the slots. The selected slots will turn green. You can also view the selected slots in the "Select Start Date & Time" field. You can delete any slot if you want to by clicking the "Delete" icon.

Confirm the following details as well:
a. Select Provider
b.  Appointment Option
c. Patient Type
d. Appointment Direction and Chief Complaint

Once done, click "Confirm" to book the non-recurring appointments for the patient.







3. To set recurring appointments:

On the same
Set Multiple Appts screen, if you click the Recurring Appointment button at the bottom, you will be directed to
 the Recurring Appointment window. Enter the following details to set recurring appointment for a patient:

a. Select an 
Active Provider from the drop-down list.
b. Select Appointment Type from the drop-down.
c. Select Start Time from the drop-down.
d. Enter the number in the "Recur every week". Click to select if it's a Weekly or Monthly recurring schedule. Note: The day of the week and month is based on the Start Date of the appointment.
e. Select range of recurrence . By default, Start Date is the current date. Click to change it if required. You can either choose End By or End After. Click to select End by date or enter the number in the box provided for "End After" to tell our system the number of occurrences.
f. Click "OK" to save the details.




B. How to Set Non-Recurring and Recurring Appointments When Editing an Appointment

1. Access your Scheduler dashboard. Search the patient for whom you want to schedule multiple appointments.

Click on the "Settings" icon as shown here. A pop-up window will open.

Click on the "Set Appointments" button. You will be directed to the Set Multiple Appts screen. 






2. To set non-recurring appointments: 

Select different appointment slots on the Scheduler by clicking directly on the slots. The selected slots will turn green. You can also view the selected slots in the "Select Start Date & Time" field. You can delete any slot if you want to by clicking the "Delete" icon.

b.  Appointment Option
c. Patient Type
