Some situations require you to refund a certain amount to a patient. For example, if a patient makes a copay at the time of service and then later finds out the insurance will cover it, you may need to refund the amount to the patient. You can refund the amount to the patient on his or her next visit to your practice.

1. Navigate to the Patient Chart. Click on the Edit button to open the SOAP Note for today's appointment/visit. You will be redirected to the SOAP note section.
Take your SOAP Notes like Exam, Daily Notes, Subjective, Objective, Plan, and more. Once done, click Invoice to create an invoice for the patient visit.
2. Once the Invoice page opens, enter your diagnosis codes, CPT codes, Misc Items, and Supplies. Scroll down to the bottom, you will find the Invoice Payments section. Here is what you need to do make a refund to the patient.
a. Enter the refund amount. For example, if you need to refund $20 to the payment, enter 20 in the Amount Paid box. b. Select paid date. c. Select 'Refund' under the payment type dropdown.
d. Click 'Add' to refund the amount to the patient.
The refund amount will be shown as Patient Paid. You can bill the rest of the amount to the patient's insurance payor.
Next, click "Recalculate and Save" to save the invoice.
