Introduction

At zHealthEHR, we have recently enhanced the UI/UX of the Online Appointment Portal to deliver a smoother and more intuitive experience. The updated design focuses on simplifying navigation and streamlining the appointment booking process, making it easier for patients to find what they need and schedule visits quickly.

With a cleaner layout and a refreshed look across the Home page and all module pages, the new portal offers improved usability while maintaining efficiency for your practice.

Pratice Appointment Portal Overview

The new online appointment portal is designed to be more robust and user-friendly, with a strong focus on both patient convenience and practice efficiency. It enables patients to easily browse available services, select providers, and book appointments online anytime, from anywhere while helping your practice streamline scheduling and improve overall patient experience.

Your appointment types (services) are now the main focus of the Online Appointment Portal, displayed more prominently and in a larger format. Each appointment type includes details such as time, price, and description, and is organised by category.

Note: The practice has full control over which appointment types and details are displayed on the online booking portal.
Example: the practice can choose which appointments are available for patients to book online. Also, the practice can create and manage categories, enable or disable the "Earliest Available Appointment" option, and configure settings such as booking by date, appointment descriptions, duration, and fee details and more.

Patients can select the appointment(s) they wish to book. Once selected, they are given three options: Select Provider, Select Date, or choose the Earliest Available Slot, based on the system configuration.

Business Information 

The new "Business Information" section allows patients to access key details directly. Clicking on the address opens the practice location in Google Maps on the web in a browser, and on mobile in the Maps app. The practice phone number is clickable, enabling patients to initiate a call with a single tap from their phone. Selecting the email option opens the default mailbox to compose a message, and, if the practice website is provided, it appears as a hyperlink that, when clicked, directs users to the practice's website.

Provider Details

When a patient selects the appointment type they wish to book, the system prompts them to choose a provider (if applicable). It then displays a list of providers who offer the selected service (appointment type). Each provider is shown as a card, and if an image is available, it will be displayed on the card.

When a patient selects a provider, the system displays the available time slots for that provider, allowing the patient to choose their preferred slot to schedule the appointment.

After selecting the appointment type, provider, and time slot, the patient must sign in using their username and password to confirm the booking. If the patient is new, they can click the "New User? Sign up here" option to create an account and to confirm the appointment.
Notes
Note: If a practice prefers to allow only existing patients to book appointments online, the "New User? Sign up here" option can be disabled upon request. This ensures that only registered patients can log in and schedule appointments, as login is required to confirm any booking.

Appointment Confirmation Page

Once the appointment is successfully scheduled, the patient is presented with the Appointment Confirmation page.
Notes
Note: The appointment confirmation message shown on the Appointment Confirmation page depends on whether the practice has the online intake paperwork feature enabled or disabled.


Earliest Available Appointment Slot

Notes
Note: The "Earliest Available Appointment Slot" option is disabled by default. To enable it, the practice must enable it in the "Facility Settings" page for the appointment type(s).

Earliest Available Appointment Slot

This feature enables patients to quickly book an appointment online for the earliest available time slot without needing to select a specific provider first. This functionality is beneficial for busy practices with limited availability, ensuring a seamless scheduling experience for patients.
