Check-In and New Notes

When patients come in for their scheduled appointment, the first thing you need to do is to check-in the patients. When you check-in a patient through zHealth Scheduling Dashboard, the system automatically creates a SOAP note for the visit.

Let's check how check-in and SOAP note creation work together:

1. Access your zHealth Dashboard.  Search for the patient name on your Calendar for the current date. To manually check-in the patient, click on the little ' Gear ' icon at the end of the patient name.

2.  A pop-up window will open. Click on the ' Check-in ' button. The window will refresh and the patient's appointment status changes to blue.
Note: The 'Check-in' button for an existing appointment will only check-in the patient for that appointment only or appointments on the same day for the same provider.

3. Click on the patient name. You will be redirected to the Patient Profile. Under the Summary section, you will see a new note created for the current date. Click on the "Edit" button available for the note created for the current date to start documenting the patient visit.

Important Notes :
1. Sometimes a provider DOES NOT want to create a note, but need a place to put patients so staff and other providers know the room is taken or booked. With zHealth Software, you can do that with the Placeholder Column. A Placeholder Column won't produce a note and will not allow a patient to check-in. This feature would be beneficial for an appointment column that is shared by different providers like a laser room or a patient needs something from another provider in addition to an existing appointment with their main provider. If you'd like a way to have an appointment column that does not generate a note (called a Placeholder Column), please reach out to your Customer Success Specialist or email for more information.

2. When a patient self checks-in using kiosk at your practice, our system updates the appointment status and the color changes to blue. zHealth then automatically creates a SOAP note for the current date. Providers can click on the patient name from the Calendar and start editing the SOAP note created for the current date, available under Summary section of the Patient Chart

3. When a patient is checked-in, our system  maps the new SOAP note only with the existing appointments for the day  under the default provider name.
