Navigating the New Scheduler


Through the Scheduler Dashboard, you can easily and efficiently view and manage patient appointments on a daily or weekly basis for the providers in your practice. When you login to your account, you will see the Scheduler Dashboard by default.

B. Read Step-by-Step Instructions for the New Scheduler

1a. Provider Drop-Down - Click to select the provider for whom you want to see the appointments scheduled for a selected date.

b. Daily and Weekly
- Click to select the Daily or Weekly view of your Calendar.

c. Number of appointments
- It shows the total number of appointments scheduled or booked for a given date.

Print and Calendar Icons

Print Icon
- Click to view or save the Clinic’s Appointment Report.

Calendar Icon
 - Click to view or save the daily or weekly schedule.




2a. Calendar Section - This is the monthly calendar section. You can see current month's calendar by default or set 3-month calendar option in your Update Info > Provider settings. Click to select any date in the present month or click the < > icons to change the dates.

b. Patient Type and Appointment Types Filters - Use the Patient Type filter when you want to view appointments scheduled by specific patient types. Use "Clear" options to clear out filter selection.

Appointment Types - Use this filter when you want to view Checked-in, Checked-Out, Note Signed, and No-Show appointment types. Use "Clear" options to clear out filter selection.

c. Check-in Queue* - The patient name who checked into your clinic is displayed here. You can see the provider name and checked-in time. You can even take actions such as send a text message to notify patients that they can enter the treatment room.

*Note: Check-in Queue is only visible for a single provider in a daily view. Check-in Queue will not be visible on the Dashboard when you select All Providers from the provider drop-down menu or in weekly view.



3. Daily and Weekly Views 

When viewing the Daily option in your Scheduler, you will see the current date at the top. 

In Weekly view in your Scheduler, you will see the current date being highlighted in white.

The date area in your scheduler now remains fixed at the top even when you scroll down to the bottom.





4. Patient Information Displayed in the Booked Slot

When hovering over any appointment, you can view the patient details, such as:
  1. Patient Name
  2. Patient Age (in years and months)
  3. Mobile Phone
  4. Patient Type
  5. Date of Appointment
  6. Time of Appointment
  7. Provider Name
  8. Appointment Type
  9. Co-Pay $ 
  10. Status (checked in, note signed, checked out, or no-show)
  11. Chief Complaint (if this info was filled out during appointment booking)




5. Different Options Provided for Every Booked Appointment

For appointments booked, you will see these options:

a. Settings Icon: Click this icon to open a pop-up window where you can check-in the patient, assign a room, open a chart, add follow-up. delete or change the appointment, collect payment, and more.

b. Delete Icon: Click this icon to delete the appointment directly.

c. Dollar Sign: Click this icon to collect payment from the patient. If you're using zHealth Pay, easily swipe/dip/tap the card to collect payment.

d. Video Call Sign - You will see this option in case of Telehealth appointments.




6. Color Coded Appointment Status

Now, you can view the status of any appointment by checking the color at the beginning of the appointment.

Blue Color - Indicates that the patient has been manually checked-in or the patient has checked-in at the frontdesk tablet/kiosk. The provider has not yet started a new note or created an invoice for the patient.

Dark Green Circle - Indicates that the provider has started a new note for the patient.

Purple Circle - Indicates that the provider has started creating an Invoice for the patient from the SOAP Note section.

Black Circle - Indicates that the provider has reviewed and signed the note in the SOAP Note section.

Pink Circle - Indicates a missed appointment; the time of appointment has arrived but the patient has not shown up or checked in.

Lime Green Circle
 - Indicates that the provider has checked out a patient via the "Checkout" button on the Invoice under the Patient Billing tab.
Note: It is not mandatory to checkout the patient from the Invoice. It is an optional step.



Header Area

1a. New Patient Button - Click to schedule an appointment for a new patient.

b. Search Box
- Enter the first or last name of a patient to find all details related to that patient.



2a. Facility Name - Your facility name is displayed here.

bHelp - Click to open Help Center and view all help articles on how to use the software.

c. Notification icon - Click the icon to view all notifications. These notifications come when you download reports or has reached Inventory Threshold.

d. Message Icon - If you're using zHealth Conversations, you will see this Message Icon. Click to open the Conversations dashboard and view & send text messages to patients.

e. Memberships/User-Plus icon - Clinics using our Memberships Management feature will see this icon. Click to view a summary of Memberships, patients availing membership packages, invoice amount, start and end dates, and more.

f. Provider Name -  Your Account or Profile name is displayed here. Hover over it and a dropdown menu will open.



3a. Home Button - Click to view the Home/Scheduler dashboard from any section of the application.

b. Bucket/Basket Button
 - Click to view patient visit dates, patient names, and their notes.

c. Flag Button
 - Click to Patient Follow-up List.

d. Daily Log Button - 
Click to view the daily logs/actions needed for specific patients.

e. Red Circle - Click to view rejected claims.

f. Green Circle - Click to view the claims that have received ERAs.


New Scheduler View for Multiple Providers and an Mobile
1. The new Scheduler offers a condensed layout reduces column spacing, facilitating easy viewing of multiple providers' schedules.

The new scheduler screens, including the main header, are fully responsive on mobile devices for improved usability.
