In certain situations, you may need to issue a refund to a patient. For instance, if a patient pays a copay at the time of service but later learns that their insurance will cover the cost, a refund may be necessary.
You can provide the refund during the patient’s next visit to your practice by issuing a check.

1. Go to the Patient's File and open the Patient Billing tab. Locate the DOS invoice for which you want to initiate the refund.
Refunds are typically applied to the same invoice where the patient was originally overcharged or where an overpayment was identified.
2. Once you've located the appropriate DOS invoice, click the green "Invoice" button to open it to add the refund.
Typically, the refund details are recorded in the "Invoice Payments" section of the invoice.
3. To record the refund information, enter the following details:
Enter the amount to be refunded in the Amount field
Select the Refund Date in the Date Paid field
Choose "Refund" from the Payment Type dropdown menu
If you’d like to include additional information, such as a check number issued by the clinic for tracking purposes. You can enter it in the Check/Note field next to the Payment Type dropdown.
4. When the refund is added to the invoice, it will appear as a line item with a negative dollar amount.
5. You can also print a receipt for the refund by clicking the print icon next to the line item and provide it to the patient.
